This policy explains what data MeetingRecorder uses, where it goes and what you can do about it. The data controller is Aleksandr Mishin, a sole trader in Spain. Contact: [email protected].
What stays on your Mac
Recordings are saved as audio files in a folder you choose on your Mac. Recording works offline and nothing is uploaded while you record. Copies of your transcripts and summaries are also saved in that folder.
What we process on our servers
- Device identifier. A random ID the app creates on first launch. We use it instead of an account to count your transcriptions and to link a Pro subscription to your Mac.
- Email address, if you enter it during onboarding. This step is optional. Without your consent we use it only for messages about your account and payments.
- Product updates by email, only if you tick the box in the app and confirm it from the email we send. We keep when and how you agreed, and when you unsubscribe. To choose what to send you, we also use your plan, how many transcriptions you used this month, the date you started and the date of your last transcription. We never use your recordings, transcripts or meeting titles for this.
- Audio for transcription. When a transcript is made, either because you asked for it or because automatic transcription is on in the app settings, the audio of that recording is sent to our server and to a speech-to-text provider. Our server does not keep the audio after the transcript is ready.
- Transcripts and summaries. The text of each transcript, its short title and summary are stored on our servers together with your device identifier and, if you gave it, your email address.
- Usage records. Date, length and language of each transcription, app version, success or error, and how many transcriptions you used this month.
- Feedback you send from the app, such as survey answers and comments.
- App analytics. Anonymous usage events, such as “recording started”, sent to TelemetryDeck. You can turn analytics off in the app settings.
- Payment details, if you buy Pro. Paddle processes your payment. We receive your email, country and subscription status from Paddle; we never see your card number. To link a payment to your app we pass Paddle a random reference, not your device identifier.
We do not sell your data and do not use your recordings or transcripts for advertising or to train AI models.
Providers we use
- Speech-to-text providers (currently ElevenLabs, with AssemblyAI and Google Gemini as backups) turn audio into text.
- OpenAI makes titles and summaries from transcripts.
- Railway hosts our API server.
- Airtable stores the data listed above.
- TelemetryDeck collects anonymous app analytics.
- Cloudflare hosts this website and counts page views without cookies.
- Paddle sells Pro subscriptions as our reseller and processes payments.
- Brevo sends our emails, including product updates to people who subscribed.
Some of these providers are in the United States. Transfers outside the EU rely on the European Commission’s standard contractual clauses or an equivalent safeguard.
Why we use this data
- To provide transcripts, summaries and Pro, which you asked for (performance of a contract).
- To keep the service working, prevent abuse and improve the app (legitimate interest).
- To keep payment and tax records (legal obligation).
- To send product updates, only if you subscribed (consent). You can withdraw it at any time: use the unsubscribe link in any email or turn off Product updates by email in the app settings.
MeetingRecorder for Claude
The optional MeetingRecorder plugin and desktop extension for Claude let Claude list, search and read your meetings. They run on your Mac and only read the recordings folder: transcripts, summaries, meeting titles, short summaries, file names and durations, and only when Claude uses them. They never change or delete your files, store nothing, make no network requests and send nothing to us or to anyone else. What they read goes only into your own conversation with Claude, which is governed by your agreement with Anthropic.
How long we keep it
Transcripts, summaries and usage records are kept on our servers until you ask us to delete them. Payment records are kept as long as tax law requires. If you unsubscribe from product updates, we stop sending them right away and keep only a record that you unsubscribed, so we don’t email you again by mistake. Providers keep data under their own terms: for example, AssemblyAI keeps transcripts until they are deleted, and Google Gemini deletes uploaded audio after about 48 hours. If you write to us, we delete the data linked to your device identifier or email address within 30 days.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to its use, or to receive it in a portable format. Write to [email protected]. If you think we handle your data wrongly, you can also complain to the Spanish data protection authority (AEPD) or to the authority in your country.
Recording other people
When you record a meeting, the recording contains other people’s voices. You are responsible for telling them and getting their consent where the law requires it. See our Terms of Service.
Changes
If we change this policy, we update the date at the top. If a change matters, we also tell users in the app.
